Main duties

Enthusiastically welcome all visitors, by welcoming them, showing them through the process of registration, keeping them updated about their host / meeting, taking care of their needs during their visit and bidding them goodbye.
Report to duty on time and follow grooming standards set by the department
Answering the phone in a professional manner consistent with company standard
To liaise with the employees about all the services offered at reception
To ensure reception desk, waiting area and meeting rooms are maintained to highest standards of tidiness and cleanliness
To process and manage conference room bookings and requirements
To alert hosts to their visitor’s presence and keep visitors updated about their host’s arrival time; ensuring all visitors are collected by their hosts.
To respond positively to any requests from visitors to enable a positive and successful visit to office.
To undertake regular checks of meeting rooms to ensure they are kept clean, tidy and fully operational in terms of services and supplies

Customer Service

To ensure that customers are given a prompt and efficient service and expectations are consistently exceeded.
To ensure that all agreed service objectives are met in line with customer expectations.
Stay attentive to visitors and employees around and respond to their queries
Handle all visitor requests promptly, taking personal responsibility to ensure visitor satisfaction.
Establish and maintain controls in order to ensure the security of the premises, materials, and resource

Other Responsibilities

Track all visitors, including vendors, visiting employees and guests.
Build and develop effective relationships with key stakeholders and be comfortable working across all levels
Greet the guest before the guest greets you
Coordinate with security for employees and vendors
Manage incoming and outgoing courier and other packages or mail as required.
To act as a positive ambassador for the business.
