Job Description
Operational Responsibilities
1. Report directly to the FM Director and assist Facilities Managers in ensuring all-encompassing categories that include all the
business units (vertical & horizontal) are visited regularly and all the findings are recorded further ensuring that these are
properly maintained and kept in good working order.
2. Carry regular site visits, develop and update the quality aspects of the projects/ sites undertaken by FM ensuring the
works/ services carried are of high quality & and safety standards.
3. Maintain a traceable compliance record ensuring the works/ services carried are in line with the requirements, standards,
specifications, and manufacturer’s guidelines, and fit for the purpose.
4. Carry a strategic approach to assist the FM team in the PPM process following industry approach & and framework all the
way from vendor, scope, contract, schedule, completion, supervision, verification, documents, and payment.
5. Gather the information during site visits and assist FM in developing a list of spare parts and material matrix covering
location, items, quantities, and inventory in/out to ensure timely availability of required items related to RM and or PPM.
6. Identify the gaps (in process & and service) and discuss the same with the Facilities Managers in order to develop strategic
plans to ensure the gaps are filled by the training need matrix which will include internal or external training session
requirements based on post-assessment project as well as financial impact.
7. List out and keep an updated register of lessons learned sharing the same with the FM team on a regular basis as part of a
proactive approach to extinguishing the issues before they are raised.
8. Review of utility bills and other energy consumption platforms, data management /analytics, and subsequent energy
strategies leading to a major reduction in current expenses.
9. Train the FM department by providing knowledge of the prevailing MEP codes of practice, regulations, and specifications
for the construction and FM industry.
10. Along with routine site visits, attend all periodic progress & and technical meetings held with all relevant parties.
11. Assist FM Director and FM Manager in validating the quality of Preventive Maintenance and intervene, if necessary with
technicians or contractors using spot checks of preventative and corrective maintenance work (CAFM).
12. Reviews and comments on progress and other reports submitted by contractors and service providers.
13. Monitors site inspection plans and approval process and participate in the testing and commissioning process in
coordination with the contractor/consultant/service providers.
14. Reviews record drawings, operating and maintenance manuals, and other relevant technical submittals whenever
required.
